How to Book Your Tour with 10Adventures

Booking your adventure should feel as exciting and effortless as the journey itself. At 10Adventures, we’ve made the booking process simple, flexible, and fully supported, so all you have to do is dream big and pack light. Whether you’re heading off on a self-guided walking tour through Europe, a small-group trek in the Himalayas, or a cultural journey through Asia, we’re here to make it happen seamlessly.
Here’s how to book your tour with 10Adventures in 10 easy steps:
1. Choose your tour and submit a booking request
Start by browsing our collection of adventure tours, filtered by destination, activity, trip style, fitness level, and season. When you find the tour that sparks you, click the Book Now or Get a Quote button and complete the short booking request form.
What to include in the form:
- Your contact details
- Desired start date or a range of dates
- Number of travellers
- Rooming preference and accommodation notes
- Any special requests (dietary needs, accessibility, celebrations)
Why this is helpful:
- Submitting a request starts the conversation and allows our travel specialists to check availability and put together a tailored quote. This step is non-binding, so you can ask questions before committing.
Pro tip: If you’re flexible on dates, include a couple of alternatives in the special requests field to speed up availability checks.
2. Confirm availability with a travel advisor
After we receive your request, one of our experienced travel advisors will contact you to clarify trip-specific details and to confirm availability with our local partners.
What our advisor does:
- Clarifies your preferences and any special needs
- Confirms available departure dates and accommodation options with local operators
- Prepares a detailed quote that lists inclusions, exclusions, deposit amount, and any optional extras
Timing: we typically respond quickly, but if you need an urgent confirmation because flights are on sale, let your advisor know and we’ll prioritize your request.
Customize your trip: Custom tours are our specialty. From upgraded hotels to extra rest days sprinkled throughout your tour, let us know what we can do to help plan the trip of your dreams.
Pro tip: Ask your advisor to spell out cancellation terms, luggage support (for self-guided trips), and any optional upgrades so there are no surprises.

3. Submit your traveller details
If you accept the quote, we’ll ask you to complete a traveller details form for every person in your party. This is a secure, online form.
What we’ll need:
- Full name exactly as it appears on legal ID or passport
- Date of birth and nationality
- Contact details and an emergency contact
- Any relevant medical or mobility information and dietary requirements
Why this matters:
- Accurate traveller details allow us to create your booking documents, secure reservations with local partners, and issue an invoice for your deposit payment.
Privacy note: we handle personal information securely and only share what’s required with local suppliers.
4. Pay deposit
To secure your space we require a deposit. You can pay this conveniently through our secure online payment portal, in your local currency where available, using a credit card. Bank transfer is also accepted on request.
Practical points:
- The exact deposit amount will be shown on your quote and invoice
- Credit card charges and conversion fees (for payments not in your local currency) are set by your bank or card issuer
- Bank transfers may take a few business days to clear
Receipts: you will receive a payment receipt and an invoice for your records.
Pro tip: If you’re booking within the final payment window, you may be asked to pay the full amount rather than the deposit.
5. Final confirmation
Once your deposit has been received, we confirm the booking with our local partners and finalize logistics.
What to expect:
- A booking confirmation and voucher will be emailed to you once everything is secured
- We will reconfirm key details with our local suppliers such as hotel names, meeting points, included services, and any special arrangements
- Final payment is normally requested 90 days prior to the trip start date, unless your quote specifies otherwise
If you have questions about timing or want a copy of your booking for your records, your advisor will provide it.
Pro tip: Mark your calendar with the final payment date; we’ll send reminders, but this helps avoid last-minute rushes.
6. Book flights
We recommend booking flights only after you receive the green light from your advisor confirming the tour is secured. Airfares are often non-refundable or costly to change, so waiting reduces risk.
Flight booking tips:
- Allow at least one buffer day before the trip start in case of delays
- Consider flexible or refundable fares if your schedule is tight
- Check baggage allowances, especially for active or self-guided trips that involve transfers
Don’t forget travel insurance that covers cancellation, medical emergencies, and baggage.
Pro tip: If your trip requires international connections, consider an extra night at the start to ease any jet lag.
7. Trip documents
You’ll receive a full set of trip documents by email well before departure. In some cases, such as with guided tours, pre-tour information may be more limited as you will be led by a local guide. Timing varies by destination and local operator, but documents are generally sent about 30 days before you travel.
Typical contents:
- Final itinerary and day-by-day notes
- Hotel list with addresses and check-in instructions
- Meeting point details and local contact numbers
- Vouchers and tickets where applicable
For self-guided trips: route notes, maps, GPS files, and luggage transfer instructions
Download and save these documents offline, and keep printed copies handy where useful.

8. Enjoy the tour
This is the fun part. Once on the ground, relax and immerse yourself in the experience. Our local partners operate the tours, and our team remains available if you need assistance.
On-trip support:
- Local guides or on-the-ground operators will handle daily logistics where applicable
- For self-guided trips, emergency contacts and local partner numbers are provided in your documents
- If anything unexpected comes up, contact the local partner first, then your 10Adventures advisor if necessary

9. Share your feedback and write a review
We want every trip to be exceptional, and your feedback is the single best way we continue to improve.
How we collect feedback:
- Shortly after your trip ends we’ll send a short post-trip survey to capture what worked and what could be improved
- We’ll also invite you to write a public review so future travellers can benefit from your experience
Why it matters:
- Honest feedback helps our local partners raise standards and helps other travellers choose the right trip
- We read every submission and use it to refine itineraries, accommodation choices, and service levels
Pro tip: When writing a review, include specific details such as guide names, accommodation highlights, and any special moments - that makes reviews most useful to other travellers.
